Why do we not allow to share login accounts?
Protecting your Eclarion account login is essential for maintaining security and integrity of your data.
Using personal accounts help to improve security, accountability, and manageability. While shared accounts, such as quality@company.com, may be convenient, they can lead to security and accountability issues, particularly when it comes to features like 2FA and audit trails.
A few reasons…
-
Security risks: Sharing your login credentials with coworkers can increase the risk of your account being compromised. Unauthorised access can lead to a data breach and can be extremely damaging for your business.
-
2FA: If each employee has their own personal account for Eclarion, they can set up 2FA (Two Factor Authentication) and be responsible for maintaining the security of their own account.
-
Accountability issues: When multiple people use the same login credentials, it can be difficult to track who made changes or accessed certain information. This can create accountability issues and make it harder to resolve problems or enforce policies.
-
Loss of control: When you share your login credentials with coworkers, you are effectively giving up control of your account. This can lead to unwanted changes or alterations to your settings, data, or preferences.
-
Audit trail: An audit trail provides insight on who did what and when. For example, it is possible to find out who changed a certain recipe last week. However, the audit trail can only function properly if each user has their own personal account.
-
Difficulties in communicating: When multiple people are using the same common email account, it can make communication difficult and even frustrating. If several team members are receiving and responding to emails, it can be challenging to keep track of conversations.
By taking steps such as using strong passwords, enabling 2FA, and using personal accounts, you can help reduce the risk of security breaches and ensure compliance with licensing agreements.
